# How to Backfill Past Awards into Commitments

> Add last year's bid and publish its awards so your active rates carry into this year's bid.

## Summary

Commitments is only as useful as it is complete. Before you start a new bid for a customer you already haul for, add last year's bid and publish its awards. You don't need to reprice anything. Import the rates you submitted, add the awards, and publish. BidRight then pulls those active rates into this year's bid automatically.

## When to use this

* You're about to bid a customer you already haul for, and last year's bid isn't in BidRight.
* You're new to BidRight and want your current active rates in Commitments.
* You won bids before you started publishing awards and want to backfill them.

## Before you start

Have these ready:

* The bidding customer set up in BidRight.
* Last year's final rate submission. This is the file you sent the shipper with your rates.
* The shipper's award file, if they sent one.

## How to backfill a past bid

**1. Step 1: Create the past bid as Awarded**

Select **Add Bid** and choose the **Bidding Customer**. Set **Bid Status** to **Awarded** so you skip the round stages.

Set the **Due Date** to last year's actual due date, and give it a description like "2025 Annual TL" so it's easy to tell apart from this year's bid.

**2. Step 2: Import last year's submitted rates**

Import your final rate submission the same way you import any bid file. During column mapping, map your submitted rates to **S-RPM** and **S-MIN**. There's nothing to price.

**3. Step 3: Import the awards**

If the bid isn't marked Awarded yet, select **Mark Outcome > Awarded Lanes**.

Then select **Import Awards File** from the banner on the bid, or go to **Bid Actions > Import Lanes from File**. Map the awarded volume and submit.

**4. Step 4: Set the award type**

In the **Awards** band, set each lane's **Type** to **Primary** or **Secondary** to match the award.

To move fast, filter Volume greater than 0, set the first lane to Primary, and drag the fill handle down. If the shipper lists zero-volume lanes as backup, filter Volume equals 0 and set those to Secondary.

**5. Step 5: Accept the awards**

Select **Mark Awards Accepted** to accept every lane at once, or check the **Accepted** box lane by lane.

**6. Step 6: Publish to Commitments**

Select the **Publish** stage, then **Publish Awards** in the top right.

Choose which submitted rate to save (linehaul or minimum RPM) and enter the date last year's rates took effect as the start date. Only enter an end date if the rate hard-stops on a set date.

Published lanes turn gold and lock against edits.

**7. Step 7: Check your work**

Open **Commitments** and filter to the customer to see the lanes you published.

When you open this year's bid, your **Active Rates** show alongside the other rate bands. If you don't see them, select **Reset View**.

> [!TIP]
>
> **No Lane IDs on the award file, or only a few awarded lanes?** Skip the award file. Type the awards directly into the **Awards** band, then pick up at step 4.

## What to watch for

* **Back-date the due date.** BidRight shows Prior Bid Rates from the customer's most recent bid by due date. If the past bid carries this year's date, it can look like the latest bid.
* **Lane IDs must match exactly.** The award file has to use the same Lane IDs as the rate file you imported in step 2. If a shipper reformats IDs between files, lanes won't match.
* **Only accepted awards publish.** Lanes you leave unaccepted stay on the bid and don't become commitments.
