# Manage teams

> How to organize your company into teams so each group's bids and customers stay separate.

## Summary

Teams organize your company by region, department, or business unit. Each team works as its own workspace: its customers and bids stay inside it and do not carry over to other teams.

Teams separate work, not people. Everyone in your company can get to every team, so a team is about keeping one group's bids from cluttering another group's, not about restricting access.

You manage teams under **Company Settings › Team Management**. Adding and editing teams requires admin access.

## Before you start

Decide how your bid work is actually divided. Region, department, and business unit are the common splits. Use the structure your company already talks in, not an idealized one.

> [!TIP]
>
> Most companies start with a single team named after the company itself and add more only when a group genuinely needs its own separate book of bids and customers. If everyone works the same freight, one team is fine.

## Reading the team list

**Team Management** lists every team in your company by **Team Name**. Click the column header to sort, or use **Search** to filter when the list gets long.

Each row has a **`...`** menu on the right for actions on that team.

## Create a team

**1. Open Team Management**

Click your name at the bottom of the left menu panel, choose **Company Settings**, then select **Team Management**.

**2. Start a new team**

Click **+ Add Team** in the top right. The **Add Team** modal opens with a reminder that the new team works as its own workspace.

**3. Name the team**

In **Team Name**, enter a name that describes the group the way your company talks about it, for example **Open Deck Division** for a business unit, or a region name for a geographic split.

**4. Create the team**

Click **Add Team**. The team appears on the list as an empty workspace.

> [!WARNING]
>
> A new team starts empty. Customers and bids do not carry over from another team, so anything the new team needs has to be set up inside it.

## Switching between teams

There is no membership list to manage. Every user can work in every team, so once a team exists, anyone can switch into it.

## How teams are used

* **Each team holds its own customers and bids.** They stay inside that team and are not visible from another team's workspace.
* **On the Bid Workflow view.** The team assigned to a bid shows on the Bid Workflow view, so you can search and filter by the people on it.
* **Pricing defaults apply across teams.** The values in **Pricing Defaults** are company-wide and apply to all teams.

## What to watch for

* **A team is a boundary for work, not for people.** Creating a team does not hide anything from anyone. If you need to restrict who can see a book of business, teams are not the tool.
* **A customer used by two teams has to be set up in both.** Customer records do not carry over, so a shipper both teams bid for needs a record on each, including its fuel program and contract details.
* **Check which team you are in before you go looking for a bid.** If a bid or customer seems missing, you are probably in the wrong workspace.
