# Manage users

> How to add people to BidRight, grant admin access, and deactivate users who leave.

## Summary

Every person who works a bid needs a BidRight user account. A user is just a name and an email address, plus whether they have admin access.

You manage users under **Company Settings › User Management**. Adding and editing users requires admin access.

## Before you start

Have this ready for each person you are adding:

* **Full name and work email address.** The email is how they sign in and where assignment notifications go.
* **Whether they need admin access.** Admins can change Company Settings, including pricing defaults that affect every bid. Grant it deliberately.

> [!NOTE]
>
> BidRight does not store a job role on the user record. Sales, Pricing, Operations, and Review are assigned per bidding customer, not set once on the person. See [How to add a bidding customer](https://help.bidright.com/customers/how-to-add-bidding-customer.md).

## Reading the user list

**User Management** lists everyone in your company. Each row shows:

* **Name and email**, stacked together in the Name column.
* **An Admin badge** next to the name, if that person has admin access. No badge means standard access.
* **Status**: **Active** for people who can sign in, **Inactive** for people whose access is suspended. Inactive rows are greyed out.

Use **Search** to filter the list by name or email. Click the **Status** column header to sort, which is the fastest way to separate active users from deactivated ones.

Each row has a **`...`** menu on the right for actions on that user.

## Add a user

**1. Open User Management**

Click your name at the bottom of the left menu panel, choose **Company Settings**, then select **User Management**.

**2. Start a new user**

Click **+ Add User** in the top right. The **Add User** modal opens.

**3. Enter their name and email**

Fill in **Name** and **Email**. The email address is how they sign in, so use their real work address.

**4. Decide on admin access**

Check **Admin Access** only if this person needs to change Company Settings. Leave it unchecked for everyone else. Standard users can do all normal bid work without it.

**5. Save the user**

Click **Add User**. They appear on the user list.

> [!NOTE]
>
> There is no team to pick. Every user can work in every team, so a new user has access to all of them as soon as the account exists. See [Manage teams](https://help.bidright.com/settings/manage-teams.md).

## Edit a user

### Grant or remove admin access

Admin access is the **Admin Access** checkbox, the same one you see when creating a user. It lets someone change Company Settings, including the pricing defaults that drive rates on every bid. Keep the admin list short and current.

## Deactivate a user

When someone leaves the company or no longer needs access, deactivate them rather than deleting them. Deactivating suspends their BidRight access while leaving their history and data intact, so bids they priced and comments they left stay where they are. Their row stays on the list with a status of **Inactive**.

> [!WARNING]
>
> Deactivating a user does not reassign the customers and bids they own. Check their assignments before you deactivate so nothing ends up without an owner.

## What to watch for

* **Deactivate, do not delete.** Deactivation preserves history and keeps past bids readable. Everyone who has ever had access stays on the list, marked Inactive.
* **Admin access is company-wide.** An admin can change pricing defaults that affect every team's rates, not just their own.
* **Adding a user does not give them work.** Someone still has to assign them on each bidding customer.
