Summary

When a shipper sends back awards, you don’t need to enter them lane by lane. Import the award file the same way you imported the bid file. BidRight matches each awarded lane to your bid by Lane ID, whether the file has 5 lanes or 5,000. From there, you review the awards, accept the ones you’re taking, and publish them to Commitments.

When to use this

  • A shipper sent an award file for a bid you submitted.
  • You want to backfill awards from past bids so Commitments is complete.
  • You received a feedback file (red/yellow/green, percent off target). Feedback files import the same way.

How to import awards

1

Step 1: Mark the outcome on the bid

Open the bid and set its status to Awarded. The workflow tasks update to the award steps: Import Award Data, Review Awarded Lanes, Confirm Awards, and Publish Awards.
2

Step 2: Import the award file

Use the main import button on the bid, or go to Bid Actions > Import Lanes from File. Drop in the shipper’s award file.BidRight reads the sheet and maps the columns the same way it does on bid import. Confirm the mapping and submit.
3

Step 3: Review awarded lanes

BidRight matches each row in the award file to a lane in your bid by Lane ID. Check that the awarded rates and volumes match what you bid.
4

Step 4: Set the award type and accept

Set each award’s type (Primary or Secondary). Accept the awards you’re taking, all at once or one by one, since you won’t always take every award.
5

Step 5: Finalize and publish

Select Finalize Awards. Choose which submitted rate to save (linehaul or minimum RPM) and enter the start date.Only enter an end date if the rate hard-stops on a set date. Most rates are active until the lane is rebid. On finalize, the accepted lanes turn gold, lock against edits, and publish to Commitments.
Small award? Skip the file. If the shipper only awarded a few lanes, type the awards directly onto those lanes in the bid. Then pick up at step 4.

Backfilling last year’s awards

You don’t need to reprice an old bid to get its awards into Commitments. Import last year’s bid file and map your submitted rates to S-RPM and S-MIN during the import step. Then import the award file, accept, and finalize. Those become your active rates, and BidRight pulls them in automatically when this year’s bid arrives.

What to watch for

  • Lane IDs must match exactly. The award file has to use the same Lane IDs as the original bid file. If a shipper reformats IDs between the bid and the award (adding commas, for example), lanes won’t match.
  • Only accepted awards publish. Lanes you leave unaccepted stay on the bid and don’t become commitments.
  • Published awards can’t be edited yet. Check the rate type and start dates before you finalize. Editing published awards in Commitments is coming.
